Those services should not share an undefined price. For a transfer, give the two addresses. For sightseeing, give a short list of places and the hotel where you want to finish. For an intercity departure, use the dedicated destination route so the journey is priced as a separate product.
Start with the part of the valley where you are staying. Thamel, Boudha, Patan and Bhaktapur lead to different pickup and drop arrangements. A hotel’s postal address may identify its office rather than the entrance a driver can reach. Send the map pin and ask the property for its practical car meeting point, especially when carrying large suitcases.
For an arrival pickup, send the flight number, travel date, domestic or international arrival and the hotel name. The pickup time should account for baggage collection and any arrival formalities, rather than treating touchdown as the time you are ready at the kerb. Agree on the meeting point and a contact method that works if your phone has no mobile data.
An airport-to-Thamel reference does not price a drop in every part of the valley. Patan, Bhaktapur and a hotel beyond the city require their own endpoints. Ask whether parking and a waiting allowance are included, when extra waiting starts and how a delayed flight is handled. For departure, work backwards from the airline’s reporting requirement, with time for the road journey; avoid scheduling a final sightseeing stop against a tight airport deadline.
Choose the places that matter most before selecting half-day or full-day hire. Nepal Tourism Board identifies Kathmandu Durbar Square, Swayambhu, Boudha and Pashupatinath among the city’s main visitor sites. A car makes the transfers between stops; your time walking, visiting and resting still needs space in the schedule. A longer place list is not necessarily a better day.
For a first visit, consider a focused Boudha and Pashupatinath request, or a Kathmandu Durbar Square and Swayambhu request, then ask for feasibility from your hotel. These are suggested combinations, not timed packages. Patan or Bhaktapur can also be the main purpose of a separate outing. Keep the final stop optional when travelling with children or relatives who prefer a slower pace.
The market references below show why a day-hire label needs detail. A quoted half day is not an unlimited list of stops, and a full day is not automatically a 24-hour booking. Put the start time, finish time, planned stops and final drop into the enquiry. Request the included hours and kilometres, plus the rate for additional time, extra distance and a changed itinerary.
A drop at a temple followed by an independently arranged return is different from retaining the driver while you visit. If you want the same car to wait, state that before accepting the quote. For dinner or an evening event, name the return time and pickup point instead of assuming a daytime sightseeing rate remains valid late into the evening.
Ask where the vehicle can stop at each site and how far your group expects to walk. A driving itinerary should account for steps, pedestrian sections and time on foot. A request for a suitable drop point does not establish wheelchair access or a step-free vehicle; describe the actual assistance needed so it can be assessed.
Visitor tickets, a licensed guide and religious arrangements are separate from road transport unless itemised in your quote. Pashupatinath’s main-temple entry restrictions should be checked against official visitor guidance before finalising a pilgrimage plan. A driver’s local familiarity does not automatically make the service a guided heritage tour.
Give the number of adults and children, the sizes of your bags and any mobility equipment before comparing car and larger-vehicle proposals. A vehicle’s seating label alone does not tell you whether your luggage fits. Ask for the proposed model and the actual seating and luggage arrangement; child seats and special equipment must be explicitly confirmed.
For a wedding, meeting or two-hotel pickup, list the addresses in order and identify the person coordinating the group. Include whether the vehicle waits at the venue or returns later. This avoids comparing a simple transfer with a car kept on standby, and makes the quote more useful than a generic price per kilometre.
